How to track stock and sales without turning inventory into guesswork.

The simplest reliable stock system follows one rule: every increase or decrease needs a business reason. If staff can freely overwrite quantities, the number may look correct today but nobody can explain tomorrow why it changed.

Give each item a stable identity

Use a clear product name plus a stable SKU or barcode. Do not reuse one barcode for unrelated items. If size, colour, pack or unit changes the stock identity, model it explicitly.

Record the opening position once

Count the physical stock before going live. Treat opening stock as a documented starting event, then stop editing it as though it were a permanent field.

Let completed sales reduce tracked stock

Connect the checkout to the inventory ledger. Held or abandoned sales should not silently remove stock. Completed returns should restore only eligible quantities once.

Receive new stock with source context

Record supplier, reference and quantities where possible. Purchase orders are useful when the business wants an expected-versus-received trail instead of informal restocking.

Use reorder levels as attention signals

A low-stock alert should point to the exact product or variant that needs action. For fashion, “shirt stock is low” is less useful than “Oxford Shirt · M / Black has one left.”

Count physical stock regularly

A stock count is where the digital record meets reality. Investigate differences, record the approved variance and keep the reconciliation history.

Never fix a mistake by deleting the trail

Use voids, returns, reversals and stock adjustments with reasons. Deleting history can make today’s quantity look right while making tomorrow’s cash and stock reports impossible to trust.

Reliable inventory is not created by one perfect stock number. It comes from consistent movements: opening, receiving, selling, returning, counting and controlled adjustment. When every movement has a reason, low-stock alerts and sales reports become far more useful.
